How to request an individual or mass data change

To request an individual or mass data change, simply follow the steps below:

  • For a MIR-enabled case type, proceed to the MIR section below. For a case type not available on the MIR, proceed to the organisational forms page.
  • Select the appropriate form based on the type of data change you would like to request
  • Complete and Save the form to your desktop
  • Login to the case management system (CMS) using your User ID and password
  • Select the HR Tab, and click on add a case
  • Complete the required fields and click on the “Attach a File” button to include the completed form.
  • Click the submit button.

Process for raising cases for transfers

You need to use the external transfer/secondment form in all transfer cases.

Scenario 1:
NSSO client organisation to another NSSO client organisation

The organisation transferring the employee out will lead the transfer, and they must raise a CMS (Case Management System) case with the NSSO.

This case will be transacted by Organisation Structure Management (OSM). OSM will contact the receiving organisation in order to obtain any relevant forms/clarifications.

The receiving organisation should not raise a case for the same transfer.

Scenario 2:
NSSO client organisation to a non-client organisation

The sending organisation will lead the transfer and they must raise a CMS (Case Management System) case with the NSSO.

This case will be transacted by Organisation Structure Management (OSM). OSM will contact the receiving organisation in order to obtain any relevant forms/clarifications.

The TGEN6 will be sourced and provided to the sending organisation, who can pass this on to the receiving organisation.

The employee’s record may be placed in a holding department.

Scenario 3:
Non-client organisation to NSSO client organisation

The receiving organisation will lead the transfer and they must raise a case with the NSSO through the CMS.

This case will be transacted by Organisation Structure Management (OSM). OSM will contact the non-client organisation to obtain any relevant forms/clarifications.

The TGEN6 should be sourced by the receiving organisation and added to the case along with the required external transfer form, below.

The employee’s record may be placed in a holding department.

Organisational data forms for internal/external transfer of HR Staff

You are responsible for making sure all forms you submit are fully completed. NSSO may not process forms that don’t include all the necessary information. To ensure GDPR compliance, you must take the following steps when an officer is leaving a HR unit, through an internal or external transfer:

  • You must complete the HR-specific external/internal transfer form in advance of the officer’s departure. These forms are attached below and should only be used for HR staff transfers.
  • When raising the HR transfer case, please use the following case summary to ensure these cases are prioritised:- “LHR Staff Movement-Internal Transfer” or “LHR Staff Movement-External Transfer”.
  • All HR cases raised by that officer on behalf of a staff member/s must be transferred to another member of HR. This includes both open and closed cases and this must always be done before the officer leaves HR. Full instructions are included in the HR Bulk Transfer Guide. If you experience difficulty transferring cases, please contact service.management@nsso.gov.ie and support will be provided.
  • The HR officer’s email address must be removed from all distribution lists used in HR that relate to NSSO.
  • Password access to any NSSO related data is removed.

Please note: NSSO will remove HR access to all systems including CMS, HRMS and DMS on their last day in HR. Access will not be removed unless the HR members cases have been correctly transferred. Please also advise on the case whether the employee needs to be removed from your organisation’s Local HR Matrix.
